Administrative and Finance Assistant
Role
The Administrative and Finance Assistant position is located in our Calgary head office, supporting the executive team, the administration team, the finance team, and our clients. This individual will perform various administrative and financial functions and ensure that daily finance operations function efficiently and effectively. It is imperative that this individual is professional, well-organized, and dependable, with a high degree of discretion when dealing with confidential business matters.
Areas of Accountability
The Administrative & Finance Assistant will be responsible for:
Finance and Accounting Support (Transactional)
- Support Accounts Payable and Accounts Receivable processes, including invoice entry, tracking, and follow-up.
- Enter and maintain financial data in QuickBooks Online and BQE Core.
- Prepare monthly bank and credit card reconciliations for controller review, including multiple currencies.
- Process and reconcile corporate credit card statements with supporting documentation.
- Maintain organized financial records and supporting schedules.
- Assist Controllers with month-end close preparation and audit support.
- Flag discrepancies, missing documentation, or unusual transactions for escalation.
Human Resources & Employee Support
- Provide administrative support for employee benefits, including maintaining monthly allocation spreadsheets, tracking changes, and preparing documentation for review by the Controller or HR lead.
- Conduct project resource rate reviews and support updates as required in BQE Core.
- Safety Program management and compliance tasks.
Projects Support
- Project opening tasks in BQE CORE.
- PIF creation and Billing set-up based on PO review.
Qualification Requirements
Along with an enthusiastic and professional attitude, you must also have:
- Post-secondary education, with 2+ years of administrative experience.
- 1+ year of experience supporting accounting AP/AR, bookkeeping, or finance administration.
- Experience with QuickBooks Online (QBO) or similar accounting software is an asset.
- Proficiency in Microsoft Office Suite and Google Workspace (Gmail, Docs, Sheets).
- Effective communication skills, both verbal and written.
- Financial literacy and previous human resources (HR) experience are assets
- Demonstrated organizational and problem-solving skills with the ability to prioritize responsibilities and work independently.
- Experience working on multiple projects and accomplishing results within established timelines.
- Ability to foster professional relationships with people from a variety of technical backgrounds.
- High level of accuracy, attention to detail, and willingness to learn.
- Ability to work onsite at our downtown Calgary head office location.

Salary & Employment Details
- Employment Type: Full-time, 40 hours per week.
- Wage: $25 - $35/hour
