Administrative Document Control Specialist

Role

The Administrative Document Control Specialist will be based in our Calgary head office, providing essential support to the administration and Document Control (DC) teams. This role is integral to ensuring efficient organizational operations, with responsibilities spanning DC support, administrative tasks, and financial functions. Candidates must exhibit professionalism, organization, dependability, and discretion when handling confidential matters.

Key Responsibilities

Document Control Support:

  • Maintain and update databases, documents, and templates.
  • Assist in implementing and enforcing document control procedures.

 Administrative Duties:

  • Collaborate with the administrative team to provide executive-level support.
  • Schedule, document, and organize meetings, including managing meeting room resources.
  • Provide HR support such as onboarding and preparation for new hires.
  • Develop and assist in implementing company standards, policies, and procedures.
  • Coordinate corporate events and manage office supplies.
  • Support the Safety Committee and oversee platforms such as ISNetworld and ComplyWorks.
  • Manage staff timesheets and support time and billing functions using in-house software.

 Financial and Accounting Duties:

  • Process accounts payable, including invoice approvals and data entry into accounting platforms.
  • Perform Credit Card and bank reconciliations across multiple currencies.
  • Assist in cash forecasting and other financial data preparation

Qualifications
The ideal candidate will possess:

  • Post-secondary education with 5+ years of administrative experience.
  • At least 1 year of document control experience (training provided).
  • Proficiency in Microsoft Office Suite; experience with BQE Core, QuickBooks, or similar platforms is an asset.
  • Strong verbal and written communication skills.
  • Adaptability and openness to change.
  • Financial literacy and human resources experience (an asset).
  • Excellent organizational and problem-solving skills, with the ability to multitask and prioritize.
  • Experience managing multiple projects and meeting deadlines.
  • The ability to build professional relationships across diverse technical backgrounds.
  • Strong attention to detail and a willingness to learn.
  • Availability to work full-time at the downtown Calgary head office.
